Privacy Policy

Last updated: June 2026

Your privacy matters to us. This policy explains what personal information we collect, how we use and protect it, and your rights under British Columbia’s Personal Information Protection Act (PIPA). If you have any questions, we are always happy to speak with you directly.

1. Who We Are

Executive Home Care Ltd. is a boutique senior care and life management company serving families in Victoria, BC and across Vancouver Island. We are committed to handling the personal information of our clients, their families, and all website visitors with care, discretion, and full compliance with British Columbia’s privacy legislation.

2. Information We Collect

We collect personal information only when it is necessary to provide our services or respond to your enquiries. The types of information we may collect include: contact details such as your name, telephone number, email address, and mailing address; health and care-related information provided by clients or their authorised representatives to enable us to deliver appropriate care services; financial information necessary to process service agreements and payments; website usage data collected automatically through cookies and analytics tools, including IP address, browser type, pages visited, and time spent on our site; and communications you send to us, including emails, contact form submissions, and telephone call records where permitted by law.

3. How We Use Your Information

We use the personal information we collect to deliver and manage the care and life management services you have requested; to communicate with you about your care plan, appointments, and service updates; to process payments and maintain accurate billing records; to comply with our legal and regulatory obligations under British Columbia’s Personal Information Protection Act (PIPA) and applicable federal legislation; to improve our website and service offerings based on aggregated, anonymised usage data; and to send you relevant information about our services where you have given consent to receive such communications. We do not sell, rent, or trade your personal information to third parties for marketing purposes.

4. When We Are Permitted to Use Your Information

Under PIPA, we may collect and use personal information only for purposes that a reasonable person would consider appropriate in the circumstances. We rely on your consent as the primary basis for handling your information — and you may withdraw that consent at any time, subject to any legal or contractual obligations. We also process information as necessary to fulfil a service agreement with you, or to meet a legal obligation.

5. Sharing Your Information

We may share your personal information with trusted third parties who assist us in delivering our services, including healthcare professionals, allied health practitioners, and care coordinators involved in your care plan; technology service providers who host our website and manage our communications systems; and professional advisers such as accountants and legal counsel. All third parties with whom we share personal information are required to handle it in accordance with applicable privacy legislation and our data processing agreements. We will disclose personal information to government authorities or law enforcement only where required by law or in response to a valid legal process.

6. Cookies and Website Analytics

Our website uses cookies — small text files stored on your device — to improve your browsing experience and understand how visitors use our site. We use essential cookies that are necessary for the website to function, as well as analytics cookies that help us understand visitor behaviour in aggregate. You may disable cookies through your browser settings; however, doing so may affect the functionality of certain parts of our website. We use Google Analytics to collect anonymised usage data. Google’s privacy policy governs the handling of data collected through this service.

7. Data Retention

We retain personal information for as long as necessary to fulfil the purposes for which it was collected, to comply with our legal obligations, and to resolve any disputes. Client care records are retained in accordance with applicable British Columbia health records legislation. Website analytics data is retained for a maximum of 26 months. When personal information is no longer required, it is securely deleted or anonymised.

8. Your Rights

Under British Columbia’s Personal Information Protection Act (PIPA), you have the right to request access to the personal information we hold about you; to request correction of inaccurate or incomplete information; to withdraw consent to the collection, use, or disclosure of your personal information (subject to legal or contractual restrictions); and to make a complaint to the Office of the Information and Privacy Commissioner for British Columbia if you believe we have not handled your personal information appropriately. To exercise any of these rights, please contact us using the details provided below.

9. Security

We take reasonable steps to protect your personal information from unauthorised access, disclosure, or misuse. These steps include encrypted data transmission, secure server infrastructure, access controls, and privacy training for our team. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security — but we take this responsibility seriously and act promptly if we become aware of any breach.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable legislation. When we make material changes, we will update the “Last Updated” date at the top of this page. We encourage you to review this policy periodically. Your continued use of our website or services after any changes constitutes your acceptance of the updated policy.
